- To access Employee Self-Service, use the hamburger menu in the upper-left corner of the screen and scroll to the Self-Service Portal option.
- Locate the Pay tile on the lower-right side of the screen.
- Select the word More located at the bottom of the Pay tile.
- Select Tax Forms from the menu.
- Select your 2024 tax form.
- Download your W-2.

- Once registered and logged in, select the Pay icon from the menu at the bottom of your screen.

- Select the blue envelope icon at the bottom of the screen to email a copy of your W-2 to your inbox.

Manage Your Log-in Credentials
Find login details, reset your password, and access your account.
- Navigate to Paylocity Login.
- Select Forgot Password.
- Select Need Help under the Username Field
- Enter your last name.
- Enter the last four digits of your (SSN) Social Security Number.
- Confirm the last four digits of your (SSN) Social Security Number.
- Enter your home zip code.
- Enter your cell phone number
- Follow any human verification steps prompted by the reCAPTCHA box.
- Select Continue.
- Enter One-Time Passcode.
- Select Continue.
- Respond to the login challenge question with the appropriate response (if applicable).
- Select Continue.
- Your username will be displayed on the Paylocity login page.
If you don’t receive your one-time code, check your Spam folder. If you still have trouble logging in, please contact your employer for more details.
Your company ID is the first field you fill in when logging in to Paylocity on a desktop computer and in the mobile app.
Select Help at the top-right of your login screen. Choose Forgot Company ID and follow the prompts. If you still have trouble logging in, please contact your employer for more details.
To find out who your company administrator is, please contact your current or former employer’s HR department. Typically, this person is your company’s HR or payroll manager. If you cannot get ahold of the HR team, contact your supervisor.
If you haven't received your one-time passcode, check your Spam folder. If you don't find it there, select resend code and choose to have it texted to your mobile device.
If that doesn’t work, contact your employer for more details. They can extend access, verify that the information is entered correctly in your employee profile, or reset it as necessary.
Your company administrator must enter an official work email address in your employee record. You can also add an email address or update personal information in your Employee Record.
Desktop: Log in to Paylocity and navigate to Employee Self-Service from the main menu. On the Welcome Card, click View Employee Record. Then, click the Personal Tab and the Contact sub-tab. Select Edit Contact, make the necessary changes, and click Submit.
Mobile: Select the arrow at the top right next to your name. Tap Edit at the top right and enter your email address in the email field. Verify that all personal information is updated and correct. Select Save in the top-right corner of the screen when you're done.
If you cannot update these fields, contact your employer for assistance.
W-2s and Other Tax Forms

Please contact your HR team—even if you aren’t employed there anymore.
For security purposes, we cannot access or share employee information with anyone other than the Paylocity administrator at each company, even if you are no longer employed there or the company is no longer in operation. You can obtain your past tax documents by reaching out to the current or former employer’s HR department or owners for additional support or by contacting the IRS directly.
Manage Payroll and PTO

Desktop: Log into Paylocity, navigate to Employee Self-Service, and select Time Off to see your PTO balance. Selecting Request Time Off lets you see your accrual balance and the number of hours or days available on the request date.
Mobile: Select Time Off from the main menu. Select the Balance tab. Select Time Off Type to view your balance details.
PTO Balance Types:
- Available: The balance is available as of today.
- Used Since: Balance has been used since the last payroll run.
- Last Balance: Current available balance in HR & Payroll.
- Future Approved: Approved balances for future requests beyond the current pay period.
Log into Paylocity and select Employee Self-Service. Once in the Employee Self-Service portal, select Pay and then select More. Next, select the Direct Deposit Accounts tab, then select an existing bank account or Add New Direct Deposit Account from the Add or Edit Account dropdown menu. Select an option from the Account Type dropdown menu.
Mobile: From the main menu, select your name, swipe to the bottom, and tap Edit. Make sure to save your edits.

Update your personal information from desktop
Log in to Paylocity and select Employee Self-Service from the main menu. Select View Employee Record, then Personal, and Edit Contact on the welcome card. Be sure to click Save before exiting.
Update your personal information on the mobile app
At the top of the menu, select your name and company. Click the pencil icon to update personal information. Select Save.
Depending on the level of employee access your employer grants, you may be unable to adjust your profile. In that case, please contact your employer for assistance.
